What is Xellux CRM?

Xellux CRM is the customer system of Xellux, software for agencies, freelancers and small businesses. It connects contacts and companies, a pipeline for deals, a shared inbox and a list for the day. Everything hangs on one customer file: open a company and you see conversations, quotes, meetings and open invoices in one place.

It is made for teams who work from the first call to the paid invoice without jumping between five programs. The CRM is part of the Solo plan, together with Finance for quotes and e-invoices and Meet for video calls. Data sits on servers in Germany, and the AI runs on your own key without markup.

What an agency CRM has to do.

Six things agencies choose a CRM by, and how Xellux handles them.
  • Contacts and companies

One table for all contacts, companies as a file of their own. Existing lists come in through an import in four steps: file, map fields, check, write.

  • Pipeline as a board

Deals move as cards through your stages, next to the revenue view. Open deals feed the expected payments of the coming weeks in Finance.

  • One inbox

Gmail, LinkedIn and Instagram land in one inbox. New replies show up as a card in your list for today.

  • What is due today

The Today list shows cards from real data: overdue invoice, won deal, new reply, meeting. Money comes before replies, replies before follow-ups.

  • Email sequences

Sequences send your follow-ups in steps. Whoever declines goes on the suppression list, and sending to that person is blocked from then on.

  • Reports with a source

Key figures, pipeline and channel mix, each with where the number comes from. No number without an origin.

From inquiry to signed quote.

How a job runs through Xellux, and at no point do you type data in twice.
  1. 1. The inquiry lands in the CRM

By email in the inbox, by import or by hand. Contact and company are created once and stay the file for everything after.

  2. 2. First call in the video room

Your customer books a meeting in your calendar through your booking page and joins the video room without a login. From the notes, Xellux proposes tasks you take into the CRM.

  3. 3. Quote with online signature

You write the quote in Finance and send a link. Your customer signs in the browser, on a phone too, without an account.

  4. 4. Acceptance, invoice, payment

When your customer accepts, Xellux creates the subscription and the first invoice. The invoice is available as an e-invoice, and dunning plans the reminders.

AI that knows your customers.

Every card in the Today list carries a draft the AI writes from the real history with that contact: the last emails, the open quote, the last meeting. You read, change and send. The list itself never writes on its own.

The AI runs on your own key with Anthropic, OpenAI, Google or another provider. You pay the list price there directly, Xellux adds 0%. Reading happens right away; anything that writes or sends waits for your okay as a proposal.

With every approval your Core learns how you work: your tone, your prices, when you take meetings. Every model you pick in Xellux gets this Core.

Servers in Germany, DPA on request.

What happens to your customers' data, in four sentences.

Opt-outs are respected
Whoever unsubscribes or declines is on the suppression list. Sequences and drafts to that person can no longer be sent.

Features are not identical. Trademarks belong to their owners. The Xellux apps are in beta.

What Xellux CRM is not.

  • No phone system: there are no calls or SIP, and none are planned.
  • No WhatsApp Business, the integration is not decided yet.
  • No mass newsletter tool: sequences are meant for personal follow-ups, not campaigns to thousands of addresses.

The CRM comes with Solo.

Solo costs €49 a month net for one person, with every app. Team costs €99 with five people, each further one €10. Start with account, calendar and inbox costs nothing.
